1.3.1 Run a budget with "Run Budget"

Before you can run a budget, your company’s Configuration must be set up. If the Run Budget button is greyed out, head to Setup & configuration first.

Kick off a run

There are two ways to start a budget run: the Run Budget button in HOAi, or a Budget Delivery action item created in Vantaca (see Scheduled vs. ad-hoc runs). The quickest is the Run Budget button on the Budgets page (top-right, next to the Guide link).

1. On the Budgets page, click Run Budget.
2. In the Run Budget Workflow dialog, choose the Community you want to draft a budget for.
3. Click Run. HOAi kicks off the run and opens a new chat tab where the agent gets to work.

What to expect during the run

A typical run takes about 10 minutes. You don’t have to sit and watch it — you can navigate away and come back, and the chat will be waiting with the finished proposal. (An upcoming “Needs Attention” indicator in your chat history will flag which chats have a proposal ready for you to review.)

While it runs, the agent pulls GL accounts, historical actuals, prior approved budgets, the reserve study, and contracts, then drafts every line with a justification. For the why behind those choices, see How HOAi drafts a budget — the principles.

ℹ️ Test before you schedule. Before turning on scheduled runs across your portfolio, run a test budget against one real association and review the output — confirm the line items, GL groupings, projections, and Notes match your expectations. It's the fastest way to catch a configuration or GL-grouping tweak before it repeats across every community.
