How HOAi fits into your Vantaca workflow
When a budget is drafted from a Vantaca action item, HOAi works across two steps in your workflow.
1. Add context and overrides (the pre-agent step)
On your budget action type, you can optionally define a step where the manager provides additional input before HOAi’s agent runs — an internal note with context or overrides specific to that association. HOAi reads that note and prioritizes what you put there over the questionnaire guidance. See Where the data comes from for how to use it to steer a draft.
2. Draft the budget (the trigger step)
The step that carries the Draft Budget workflow trigger is what actually kicks off HOAi. When the action item reaches this step, the agent drafts the budget.
Getting to the proposal from Vantaca
When the trigger step finishes — and the workflow isn’t set to auto-approve — HOAi adds an internal note back on the action item, letting you know a proposal is ready for review. It looks like this:
