1.6.1 Common issues & when to ask for help

Most runs go smoothly. When something doesn't, here's what to do.

• The run seems stuck or returns an issue. Runs usually finish in about 10 minutes. If one is clearly stuck or the agent reports something it can't resolve, email [e-mail] with the chat link.
• A run finished but no draft appeared. Occasionally a run can hit a chat context limit before it renders the workbook. Re-run the budget from Budget Setup; if it happens again, email [e-mail] with the chat link.
• Something doesn't match what you expected. Use Modify (chat or direct edit) to adjust the draft — every change is tracked. If the underlying numbers look off, check that the association's actuals, contracts, and reserve study are in Vantaca (see Where the data comes from).
• The budget skipped a GL you expected to see. By default, HOAi includes every expense GL with activity in the current or prior year, plus every income GL with a current-year approved budget. If a line you expected is missing, confirm the GL has actuals or an approved budget, and check your GL inclusion setting in Budget Setup UI settings. If it should appear and doesn't, email [e-mail].
• The prior-year columns show $0. For a recently-migrated association, Vantaca may not have transactional history for those years yet — it doesn't mean the association spent nothing. The draft leans on the approved budget and any documents on file. Keep prior-year financials in the association's documents and note them in Special Notes.
• A new association produced a weak draft. If the association is in its first fiscal year or has only a few months of closed actuals (roughly under five), most lines fall back to the prior budget. Consider waiting until more months close, or set expectations with the board.
• Reserves look flat or empty. The agent grounds reserve lines in the reserve study it can find. Confirm a current study is uploaded to the association's documents, then re-run from Budget Setup.
• A reserve-transfer mismatch is flagged. The operating fund's transfer to reserves should equal the reserve fund's transfer from operating. Pick the correct value and ask the agent to sync it.
• The Projected column looks wrong for one line. Ask the agent in chat: "What method did you use to project this line?" It will explain, and you can ask it to change the method or value.
• You want to add or remove a column. Not supported today — see What's not supported yet.
