- GL accounts are current and reconciled for the target month — the workflow pulls from the Balance Sheet report, so any unposted transactions or unreconciled accounts will result in incomplete or inaccurate figures in the Assets, Liabilities, and Equity sections.
- Budget entries are entered for the association — the Income & Expenses section compares actuals to budget. If budget lines haven’t been entered into Vantaca, variance comparisons will show as missing or zero rather than meaningful over/under figures.
- Reserve accounts are mapped and contributions are posted — the Reserves section pulls YTD contribution and expense totals. If reserve accounts aren’t properly set up or transactions haven’t been posted, that section will flag the data as not found.
- The Other Date field is filled in on the action item — HOAi uses this field to determine which month’s reports to pull. If it’s blank, the workflow won’t know which period to run for and may produce a report for the wrong date range.
